Athena Promo (“Athena Promo”, “we”, “us”) is a business-to-business supplier of custom promotional products. This policy explains what information we collect through athenapromo.com and its subdomains (including our payment portal at pay.athenapromo.com and the Idea Generator at ideas.athenapromo.com), how we use it, and the choices you have.
1. Information we collect
Information you give us
- Quote, contact, sample, and reorder requests — your name, company, email address, phone number, shipping details, product selections, quantities, and any artwork or purchase-order files you upload.
- Customer accounts — the email address and password you use to sign in. These are the same credentials you hold with us in our order-management system; this website does not store your password.
- Online orders — the items, decoration instructions, quantities, ship-to and bill-to details, and files you provide at checkout. A customer-service representative reviews every order before anything is produced.
- Payments — when you pay an invoice through our payment portal, card and bank details are entered directly with our payment processor, Stripe. We receive a confirmation and the last four digits of the payment method; we never store full card or bank numbers.
- Live chat and the Idea Generator — the messages you type (or, if you choose voice, speak) so we can answer your question or suggest products. Voice audio is processed in real time and is not stored by us.
- Email subscriptions — the email address you provide to receive product news; every message includes an unsubscribe link.
Information collected automatically
- Usage analytics — we use Google Analytics to understand which pages and products are viewed. Google sets cookies for this purpose; you can opt out with the Google Analytics opt-out add-on.
- Essential cookies and local storage — a session cookie keeps you signed in (up to 7 days), and your browser’s local storage remembers conveniences such as recently viewed products, saved favourites, and compare lists. These stay on your device.
- Server logs and security — IP address, browser type, and request details are logged by our hosting provider (Cloudflare) to keep the site available and detect abuse.
2. How we use information
- To prepare quotes, virtual proofs, and orders, and to communicate with you about them.
- To create and manage your customer account and show you your pricing, orders, invoices, and proofs.
- To process payments and send receipts.
- To respond to chat, contact, and support requests.
- To improve the website, search, and product recommendations.
- To send product news if you subscribed, and transactional notices about your orders.
- To comply with legal obligations and protect against fraud.
3. Who we share information with
We do not sell personal information. We share it only with service providers that help us run the business, under terms that limit their use of it:
- Our order-management and accounting system (Oracle NetSuite), where quotes, orders, invoices, and customer accounts are kept.
- Stripe (payments), Cloudflare (hosting, security, and image delivery), Google (Analytics and business email), and our email-delivery providers for transactional messages.
- xAI and other AI providers that power the Idea Generator and chat assistant; only the text of your request is sent.
- Production partners and carriers, to the extent needed to decorate and ship your order.
- Authorities when required by law, and successors in a merger or acquisition.
4. Retention
Quotes, orders, invoices, and account records are kept for as long as you are a customer and thereafter as required for tax and accounting purposes. Chat transcripts and contact requests are kept as customer-service history. Uploaded artwork is kept so we can reproduce your order. Analytics data is retained according to our Google Analytics settings.
5. Your choices and rights
- You may request access to, correction of, or deletion of your personal information by contacting us (below). Some records must be kept for legal reasons.
- You can unsubscribe from marketing email at any time using the link in each message.
- You can control cookies in your browser; blocking essential cookies will prevent signing in.
- Residents of California and other jurisdictions with privacy laws may have additional rights, including the right to know what we collect and the right not to be discriminated against for exercising those rights. We do not sell or share personal information for cross-context behavioural advertising.
6. Security
All pages are served over HTTPS. Customer sign-in uses secure, HTTP-only session cookies. Payment details go directly to Stripe. Access to customer records is limited to staff who need it.
7. Children
Our services are for businesses and are not directed at children under 16. We do not knowingly collect information from children.
8. Changes
We will post any changes to this policy on this page and update the date above.
